Keeping Every Employee Business Card On Brand

Every company with more than about ten staff has the same quiet problem. Somebody has an old version of the logo. Somebody else wrote their job title in a way nobody else uses. One card lists the switchboard, another lists a mobile, a third lists both. None of it is anyone’s fault and all of it is visible to customers.

Brand guidelines do not fix this, because guidelines rely on people reading them. What fixes it is making the branded fields not editable in the first place.

Separate the two kinds of field

The useful distinction is between what represents the company and what represents the person.

Company fields should be identical everywhere: company logo, company name, office number, website, address, social profiles, link buttons, gallery photos, and the card design itself. There is no good reason for these to differ between two people at the same business.

Personal fields should stay with the individual: their name, photo, job title, bio and mobile number. Locking these achieves nothing and irritates people.

Enforce it on the server, not in the interface

This sounds like an implementation detail and is not. If the only thing stopping a member editing a locked field is that the input is disabled in their browser, then anyone who opens developer tools can send the change anyway - and the admin will believe the lock is holding when it is not.

A lock nobody can rely on is worse than no lock, because it produces false confidence. Cardtly enforces locks on the save endpoint, so what the browser sends is irrelevant to what reaches the card.

It is a fair question to ask of any tool you are evaluating: if I disable this field, what actually stops a determined member changing it?

Let departments tighten, never loosen

In a bigger company one person cannot approve everything, so department heads need real control. The ordering that keeps this safe is simple: a department head can lock more fields for their team, but cannot unlock anything the company has locked.

That way delegation never weakens the company standard. Sales can standardise their link buttons without being able to undo the logo lock.

Set the brand once and apply it

Rather than asking thirty people to upload the same logo, set the team brand once - logo, company name, website, colours - and apply it to every card. A department can carry its own colours on top of that if it needs to.

The practical benefit shows up at rebrand time. Changing the company logo becomes one change rather than a request to thirty people, of whom four will not do it and two will use the wrong file.

The stale title problem

Job titles go out of date faster than anything else on a card, and on paper they stay wrong until the next print run.

Leave job title unlocked - it is a personal field and people should maintain it - but understand what changes: on a digital card, when someone updates their title, every person who already has their card sees the new one. The correction reaches the people who received the card last year, which printing never does.
